Every member of FIU's faculty and staff represents the university. Maintaining a uniform email signature is a top priority and a key facet of communicating with a unified voice and brand.

Furthermore, having accessible and standardized email signatures is a legal, regulatory and accreditation requirement. It is our duty to make our connection to the university clear, legible and accessible.

Build your email signature

  • Required Information

    All FIU faculty and staff must provide the following information in their email signatures:

    • Full name
    • Title
    • Academic unit, division or college
    • Email address
    • Phone number (Your primary contact or your office's phone number)
  • Prohibited Items

    The following items are prohibited due to noncompliance with brand guidelines or accessibility standards.

    Your email signature must not include:

    • Personal statements or quotes
    • Custom rankings, logos or graphics
    • Alternative fonts or colors that fall outside the Brand Guide
    • Unit-specific logos (unless otherwise approved)
    • Links to external websites (unless otherwise approved)

The FIU email signature generator is a flexible, customizable tool. Create your email signature using the form below. Fill out all required fields and choose optional fields as needed.

Units that mostly communicate internally can omit the address field. Likewise, research-focused faculty and staff can link their FIU Discovery or FIU website directory profiles in the Website field.

How to edit your email signature on Outlook

  1. Open Microsoft Outlook.
  2. Open Settings by clicking the gear icon () in the top-right.
  3. Click Accounts and then Signature.
  4. Click Edit and clear your current signature.
  5. Generate an email signature using our form.
  6. Click Copy to copy your signature.
  7. Paste your new signature into Outlook.
  8. Click Save, then close signature box.
